MINUTES OF THE MEETING OF LONGPARISH PARISH COUNCIL
COMMUNICATIONS COMMITTEE HELD AT MEADOW FARM COTTAGE AT

10/2 MINUTES
The minutes of meeting held on 16 November 2009 had already been approved by the Parish
Council
10/3 MATTERS ARISING
Apart from matters considered later in the meeting, the following points remain outstanding

Publication of Publication Policy (JB)

New Villagers web page (DG)
·
Publish Church Guide on website (DG)
·
Filling photo albums (MJD)
·
Cemetery article for Hill & Valley (FG)
10/4 WELCOME EVENT FOR NEW VILLAGERS
The number of new villagers is more than this time last year. The Committee recommends that
the event is repeated on Tuesday 11 May in the Village Hall.
Action JB to liaise with all concerned.
10/5 HANDBOOK
The committee thanked Mary Jo Darrah in absentia for all her work on the revised edition.
Detailed comments will be passed to her. The more significant ones were
·
Map – the committee agreed that a map should be included;
·
Format – the map would not come out well with the proposed A5 format. The Committee
felt that A4 would be preferable, particularly as this is the layout already used for the
Village Design Statement and the Village Plan;
·
Relationship with web version – the committee felt that the paper copy should be self
contained but should include an explanation that it is published on the website and that
the web version includes links to more detailed information.
·
Previous version – the committee suggests that the previous version is retained on the
website as archive material but in a format that makes it clear that there is a later version
·
Village organisations – the committee felt that a snapshot like that in the Village Plan was
a good approach. Including background information about organisations likely to endure
long term such as the Parish Council. The PCC, the Cricket Club and the Longparish
Community Association was considered helpful but information about more transient
organisations should be in the handbook. Inclusion of a list of defunct organisations was
not needed as the previous edition would be retained on the website.

Pictures the committee had no bright ideas for colour pictures on the reverse of the
centre page map but wondered about extracts from old maps which would show how the
village has evolved. They wondered about old sepia pictures for the front cover and
welcomed using Mary Snow’s line drawings again

New material – the committee thought it would be useful to include new paragraphs on the
village website (FG to draft), the Parish Plan (JB to draft), the Longparish Community
Association (FG to draft) and the playground and skate ramp, village newsletters and
properties that have disappeared and scenes that have changed.10/6 OVERVIEW OF DEVELOPMENTS SINCE LAST MEETING
Mary Jo and Jeremy had reviewed the large accumulation of papers from the previous Clerk. A
much weeded set had been passed to the new Clerk. Selected important documents had been
lodged with the Hampshire Records Office.David had set a process for the Clerk to publish Council minutes on the website.
Cathy Yelf had confirmed that the £200 budgeted was sufficient to fund the software needed for
hep proposed video archive.10/7 VILLAGE CORRESPONDENT
Xandi felt that all was going well. Her main resource is Hill & Valley10/8 HILL AND VALLEY
Again all was going well. Funds would run to two colour covers in the year to come featuring
Spring flowers and Autumn colours.10/9 WEBSITE
The playgroup area is now managed using Joomla. It is still a subdirectory of the village website
but David is considering making it independent as playgroup.longparish.org.uk.The possibility of adopting the same approach for other areas such as parish council, church and
community association was discussed somewhat inconclusively. The committee did not really
understand the issues and felt that a briefing note would be helpful for the next meeting.

There being no further business the Chairman thanked Xandi for hosting the meeting and declared
it closed at 10pm.
